The Role

Looking for your next challenge? Your role as a Planner Assistant will be to increase Planner efficiency in the Wealth region by supporting a group of planners to deliver an enhanced customer experience for Westpac’s wealth customers.

You will be responsible for a variety of tasks, project work, logistics and reporting. You will need to build strong relationships with many stakeholders, both internal and external and constantly deliver what you promise.

As a Planner Assistant you will be able to utilise your administration skills in a challenging and dynamic environment contributing to our mission of being the number one service organisation in the financial services industry.

Major Accountabilities of Position

Track customer activity including documentation, sale progress, appointments, interviews customer and customer complaints

Receive inbound and make outbound calls from/to customers (excluding advice and sales) including being contact point for day to day liaison with customers and their concerns

Process appropriate transactions for customers under direction from planners including sales documentation, withdrawal of funds, trust account, and other transfers and redemptions

Update CRM system with own entries, e.g. customer contact data

Provide filing, copying, mail/fax, typing, correspondence, business tools and office supply services to planners including database and spreadsheet activity

Book, re-confirm and follow up planner appointments and invitations with customers

Provide logistics support in relation to customer management and accuracy of documentation

Prepare reports and undertake projects as required by planners or RM wealth

Work cooperatively and effectively with designated planners, with wealth team and other areas of BCB to meet and exceed customer’s expectations

Maintain and work within compliance, ethical and privacy standards such as the FSR legislation and other relevant laws guidelines or policies

Follow up and research customer requests, e.g. for information or forms, within the boundaries of no advice or sales.

What you need to succeed

Strong customer service skills, orientation and focus

Excellent telephone manner

Effective oral and written communication skills

Excellent planning, organising and interpersonal skills

Self-starter – proactive and demonstrates initiative

Computer Literacy – to meet minimum wpm standard and MS office skill level

Ability to work autonomously and as part of a team in a pressure environment

Attention to detail and time management skills

Previous experience in and administrative role with a customer service orientation (2+ years of relevant experience desirable)

General knowledge of and experience in financial planning industry is desirable

Understanding of appropriate Westpac, BTFG and industry leading products is also desirable
